Learning portal for Australian RTOs · by Web Ways Tech

An LMS for RTOs that gives your auditor evidence they can read

Students study and sit assessments on their phones. Assessors mark and decide competency in one place. Every result comes out as a PDF an auditor can follow from page one. We host and run the portal, and your student management system stays as it is.

What an RTO learning management system is for

An LMS for RTOs is the place your students study and sit their assessments, and the place your assessors mark that work and record whether each student is competent. Under the 2025 Standards it is also where most of your assessment evidence lives, and every completed assessment has to be kept for 2 years after the student finishes.

So a good one does 2 jobs. It has to be easy to study in, and it has to hand you clean evidence the day you need it. This one is built for both, and it sits next to the student management system you already run.

One learner, start to audit

Follow a student from application to the auditor's inbox

These are the real screens your students, assessors and managers use. The school is fictional, the portal is not.

Step 1 · Before enrolment

The check happens before they enrol

Applicants sit your language, literacy, numeracy and digital literacy check first. The result is scored by section, and the advice on whether the course suits them is recorded, with the staff member’s name if someone changed it.

Standard 2.2 · pre-enrolment review

Step 2 · Studying

Lessons that open on one bar of signal

A lesson page weighs 2.7 MB, down from 10.9 MB on the platform we started from. For a tradesperson studying in a ute between jobs, that is the difference between a lesson that opens and one that gets left for next week.

Step 3 · Submitting

'This is my own work', on the record

Before each assessment the student confirms the work is their own. The time and device are stored with the attempt, and so is every question exactly as the student saw it.

Standard 1.4 · authenticity

The own-work declaration a student confirms before an assessment, on a phone

Step 4 · Marking

Satisfactory per task. Competent per unit.

Assessors mark written answers, then record the unit decision with the date and how they confirmed it was the student’s own work. A course marked complete never counts as a competency decision.

Credential Policy · decided by a named assessor

Step 5 · The auditor writes

Paste the list. Send one ZIP.

Your manager pastes the names as the auditor sent them and picks the units. Out comes an index page and a PDF for each student: the questions as they were, the answers, the marks, who decided and when.

Standards for RTOs 2025

What the Standards ask of your LMS, and where it sits

In ASQA’s 2026 sector workshops, poor-quality assessment was the most common concern, raised in 76% of the performance assessments reported on. Each line below is a requirement, and the part of the portal that records it.

Standard 2.2

A review before enrolment

LLN and digital literacy, scored by section, with the suitability advice recorded.

Pre-enrolment check results with automatic course suitability advice

Standard 1.4

Work that is the student's own

A declaration before each assessment, and the assessor’s method of confirming it before Competent can be recorded.

Unit result form asking the assessor how they confirmed the work was the student's own

Credential Policy

Competency decided by an assessor

Satisfactory per task, Competent per unit, by a named person. Staff under direction can collect evidence without deciding.

Compliance s10

Kept for 2 years after completion

Submitted work and decisions cannot be deleted before the retention date. A student who leaves is archived, not erased.

This student has assessment records that must be kept until 12 March 2028. You can archive the student instead.

Standard 1.5

Validation, by unit

Every response to a unit over any period, grouped by question, in one package for your validation panel.

Your records

Every change on record

Each decision, and every change to one, with who made it, when, what it was before and the reason given.

Activity log of assessment judgements with staff member, student and before and after values

The compliance decisions stay with your RTO. The portal makes each one easy to record and easy to show.

Open demo

Try the portal before you talk to anyone

Most RTO platforms ask you to book a demo first. Ours is open: a working portal for a fictional school, with 3 logins and no sign-up.

Student

Open a course on your phone, take a quiz and write an answer for the assessor.

Assessor

Mark written answers, record Competent or Not Yet Competent, download the evidence PDF.

School manager

Paste a list of learners into the audit request and get the ZIP an auditor would receive.

Change anything. It resets every night at 3 am Sydney time.

Case study

Already running at an Australian RTO

Training Up teaches solar and battery installers. Most of its students are tradespeople studying on phones, and the old portal was losing them. A single topic page loaded 10.9 MB over 200 requests, and readable text took 2.5 seconds to appear.

We rebuilt the student side and now run it. It carries 8 courses, 170 lessons and 2,471 topics, and it is the build every new RTO starts from, without Training Up’s courses, questions, brand or student data.

Who looks after what

We run the portal. Your team runs the training.

Hosted software goes wrong in the gap between ‘the vendor does that’ and ‘we thought you did’. Here is the split before you sign anything.

We look after

  • Hosting in Sydney, SSL and the email the portal sends from your domain
  • Updates, daily backups and keeping the portal up
  • Two-factor sign-in on staff accounts
  • Fixing anything that breaks, and new features for every RTO on the platform
  • Answering your managers and trainers by email

Your RTO looks after

  • Pointing your domain at the portal
  • Courses, assessments and what they say
  • Students, enrolments and marking
  • First-line help for your students
  • Your obligations to ASQA

Your managers get their own login for staff, enrolments, groups, courses, branding and reports. Full administrator access stays with us, on purpose: one wrong click there can take the portal down for every student at once.

Your SMS stays

Where the LMS stops and your SMS starts

Your student management system is the record ASQA and funding bodies read. The portal is where learning and assessment happen, so your office keeps the system it already knows.

We build the first SMS connection for the system our first partner RTOs use, and once it exists, every RTO on that SMS gets it.

Coming from Moodle

Staying on Moodle, or moving your courses across

An old Moodle site rarely fails all at once. It gets slower on phones, updates get put off, and the one person who understands the server moves on. One Australian Moodle partner publishes $500 a month plus $2,500 to set up.

If you move, the hard part is the content. For Training Up we checked the new course against the old one phrase by phrase and found 124 images still loading from the old Moodle server. Your first unit moves across as part of setup.

FAQ

Questions RTOs ask about the portal

$299 to $799 a month on our plans, depending on active students, plus $1,500 setup. Small RTOs typically pay $300 to $600 a month for a learning platform on its own, and $500 to $1,000 for systems that combine enrolments and learning.

No. The portal works alongside aXcelerate, Wisenet, VETtrak, JobReady or another SMS. Enrolments, USIs and AVETMISS reporting stay where they are.

Not yet. The first connection is built for the SMS our first partner RTOs use. Until then, your team enrols students from the manager screen.

No portal can do that for you. Compliance is your RTO’s responsibility. The portal records each step the Standards ask about and gives you that record as a readable file when ASQA asks.

Yes. Students study and sit assessments on a phone, and assessors can mark written answers and record unit results on a phone too.

On servers in Sydney. Each RTO gets its own installation and database.

You take the evidence PDFs, results and attempts as spreadsheets, your users and your course content. No lock-in.

No. Your team is the first line for students. We support your staff by email.
